HOC’s payment/refund policy is based on Registration Deadline (Close Date & Time)
The amount of registered orienteers is determined as of the registration deadline. Any payments that exceed the amount due as of the registration deadline will be refunded. Any changes after the registration deadline will not be refunded and the associated group or individual is responsible for payment for all registered individuals (as of the registration deadline).
Examples:
Event Date: Saturday, October 12, 2019
Registration Closes: October 10, 2019 at 8:00 pm
The event closure date/time is referred to as deadline in the examples.
A group refers to a group, club, school, or organization. The same examples apply to individuals as well
#1: A group initially registers 20 orienteers and pays in advance. Prior to the registration deadline, the group removes 12 orienteers from online registration. As of the registration deadline only 8 orienteers are registered.
Since the change was made before the deadline, The group is responsible for Payment of 8 attendees and will be refunded for 12 entries.
#2: A group registers 20 orienteers and pays in advance. At check-in the morning of the event, the group wants to remove 12 no-shows as only 8 came to the event.
Since the change was made after the deadline, the group is responsible for Payment of all 20 registered orienteers (8 attendees + 12 No-shows) so no Refund is provided.
#3: A group initially registers 20 orienteers and wants to pay the morning of the event. Prior to the registration deadline, the group removes 12 orienteers from online registration so only 8 are now registered to attend.
Since the change was made before the deadline, the group is responsible for Payment of the 8 attendees.
#4: A group registers 20 orienteers and wants to pay the morning of the event. At check-in the morning of the event, the group wants to remove 12 No-shows from the event as only 8 came to the event. Since the change was made after the deadline, the group is responsible for Payment of 20 registered (8 attendees + 12 No Shows) orienteers. No Refund is provided.
