MEET DIRECTORS OUTLINE

Purpose

Following these notes should get the meet personnel and material to the meet site. With this done the meet can be successfully conducted.  FOLLOW THESE SUGGESTIONS, BUT KEEP AN OPEN MIND. BE PREPARED TO SUPPLY ANY ITEMS OR OPERATIONS THAT HAVE BEEN OMITTED IN THIS OUTLINE.

BEFORE MEET

Establish location of event

get permit and insurance (if required)

Entry blank must be ready for mail out date (Fall mail out = 7/1, Spring mail out = 12/1)

Hint- design your entry blank after an existing entry blank for the same type of meet. i.e.. use an old B meet blank to design a B meet entry blank

Have it checked by someone else

Notify USOF about B meets or it won't be sanctioned.

Arrange for medical

Arrange for porta-a-cans if necessary

Design and set courses.  Complete 4 weeks before meet

establish locations for start, finish, computations, registration, medical personnel, port-a-cans,???

Make clue cards

Vet courses 2 weeks before meet

check courses, map corrections, clue cards

Make master maps (over print)

Have them checked by some else.

Make any clue card corrections

Have them checked by someone else

Several days before meet check that medical, port- a cans, etc. will be there when you need them

Get awards

DAY BEFORE MEET

Place water, cups and trash bags at water points

Put out direction signs to meet site

Set up start

finish

computations

registration

posting

An hour or so before sunset place white, yellow and any other controls on course

 

MEET DAY 1st

Do marker check when there is enough light to see

Registration - check-in and late

PERISHABLES Little gems that must be available in numbers to satisfy the number of competitors in each meet. You must make sure there are enough and they must be correct (if this applies). If you need 400 maps and only have 300- GOOD-BYE meet.
